As a medical facility, we collect personal information that enables us to provide our patients the best health care service as well as procure the services of contractors.

The Policy complies with Section 23 of the Constitution of The Republic of The Gambia (1997) on the Right to Privacy, as well as all other national legislation relating to data privacy and human rights.

We update this Privacy Policy as needed to reflect changes within our hospital and in the external environment.

  • Full legal name
  • Contact details (phone/WhatsApp number, physical address, email address)
  • Purpose of the contact

1.2. Patients Using Our Services

  • Date of birth or age
  • Sex
  • Marital status
  • Number of births/children (if applicable)
  • Medical history
  • Details of previous treatment and care at other health facilities, with supporting materials if available
  • Contact details of next of kin
  • Payment details for medical services, including medical insurance information (for non-cash payments)

  • Contractor/business name (if different from full legal name)
  • Valid business registration certificate or identification documents
  • Curriculum Vitae (CV)
  • Copy of Tax Identification Number (TIN) certificate

2.1. To Enable Access to Medical Services

  • Personal details and medical history allow us to provide the best possible treatment and care, and to refer patients for services not available at our facilities.
  • Payment details facilitate the processing of medical service fees.

2.2. To Ensure Compliance with Legal, Regulatory, and Contractual Requirements

  • Information requested from contractors helps us determine whether they are legally and professionally qualified to provide services.
  • Payment details enable us to process contractual fees.

2.3. To Support Clinical Research

  • Information relating to certain medical conditions may be used to advance medical research.

2.4. To Maintain Communication with Patients

  • We may share updates with current and former patients about clinical activities, new services and other important developments.

We keep personal information private and safe from unauthorized or unlawful use, and protect it against accidental loss, destruction or damage by implementing security measures guided by our internal policies and national laws.

5.1. Sharing Personal Information

We do not share personal information with unauthorized persons within our health facilities or with third parties outside our facilities without the owner’s consent—or the consent of a parent or legal guardian for minors (under 18 years). Exceptions apply only in situations where a life is threatened or when required by law. In such cases, reasons will be provided to the information owner.

5.2. Storage and Backup

  • We use both paper-based and electronic data collection and storage methods.
  • Paper records are backed up in secure locations accessible only to authorized personnel.
  • Electronic records are stored in our Medical Record System (MRS), which has strong security features and a cloud backup facility.

5.3. Employee Orientation

As part of their orientation, all new employees are required to familiarize themselves with our Code of Ethics and Conduct, including provisions on privacy and confidentiality. They are expected to implement these standards consistently in their daily work.

5.4. Website Protection

Our website uses Hypertext Transfer Protocol Secure (HTTPS), which encrypts all personal information transferred between the site and the user’s browser, protecting it from hackers. Additional measures safeguard the website against malware and other threats.

5.5. Third-Party Websites

Information disclosed on third-party websites accessed through external links on our site is not covered by our Privacy Policy. We neither endorse nor take responsibility for the privacy practices of third-party websites. We recommend reviewing their respective Privacy Policies to understand how they use and protect personal information.

The duration of retention depends on the type of information collected. As a general rule, we keep personal information only until the purpose for which it was collected has been fulfilled. This includes:

Information owners may choose to withhold their personal information. However, this will prevent us from providing our services or accepting services from contractors.

Once consent is withdrawn, we will immediately stop using the information—except in exceptional circumstances where a life is threatened or we are legally required to continue. In such cases, reasons will be provided to the information owner.

7.3. Accessing and Modifying Personal Information

Owners have the right to request copies of their personal information without needing to provide a reason. If inaccuracies are identified, we will correct them promptly.

7.4. Deleting Personal Information

Owners may request deletion of their personal information from our system at any time, and this will be carried out immediately.
